What Is a Workspace?

Learn about workspaces, which let you organize and manage multiple projects together.

Applicable project plans: All plans

Workspace is an additional feature that lets you manage multiple projects together.

When you add multiple projects to a single workspace, you can handle billing and user management for all of them as one unit.

  • Centralized billing management: You can set and manage payment methods for multiple projects together

  • Centralized user management: You can invite and manage users at the workspace level instead of per project

  • User permission restrictions (Team plan only): You can finely control what workspace members and guests can do and view

Point: What is a role?

A role defines the scope of actions and permissions a user has. Each user participating in a project or workspace is assigned a role, and every user is always given one.

For more details about roles, see the help article below.

Workspace plans

There are two types of workspace plans.

Workspace features

Centralized billing management

You can set a single payment method for all projects added to a workspace. For details, see About workspace billing settings.

Tip: You can also set a separate payment method for each individual project.

Centralized user management

Once you add multiple projects to a workspace, you can invite and manage users at the workspace level instead of per project.

Users you invite will automatically have access to all projects within the workspace.

When inviting a user, you'll assign them one of the following roles.

  • Owner (can access all projects within the workspace)

  • Member (can access all projects within the workspace)

  • Guest (can only access specific, designated projects)

For more details about workspace roles, permission scopes, and how to invite users, see the articles below.

User permission restrictions (Team plan only)

On the Team plan, workspace owners can individually restrict what members and guests can do and view. For example, you could give a blog writer edit access only to the CMS dashboard—settings can be tailored to each member's or guest's role.

For more details, see the articles below.

Note: Even if you're using the advanced permission restrictions available on the Business plan and above, workspace-level permission settings will take priority.

Use cases

Workspace is especially useful in situations like these:

  • Your company manages and operates multiple projects, and billing management for those projects has become complicated.

  • You've invited the same users to multiple projects, making it complicated to keep track of which project each user has access to and with what role.

  • You have users—such as someone dedicated to updating CMS articles—whose access should be limited to certain areas across multiple projects.
