Learn about status management for CMS items and collections, and how to use the publication date feature for scheduling content.

What are CMS Status and Publication Dates

What is CMS Status

CMS status is a feature that manages the publication state of CMS items (content such as articles and products) and collections (groups of content).

There are four status types:

  • Draft

  • Published

  • Scheduled

  • Modified

When your site is published, status changes to content are reflected immediately on the live site.

When changing an article's status from draft to published, it automatically appears on the site. No additional site updates are required.

However, depending on your project's status (such as when dynamic pages haven't been created), you may need to make additional changes in the editor and update the site itself.

What are Publication Dates

Publication dates let you specify when CMS items (content) should be published, either before or after publication.

This can be used for:

  • Scheduling article publication

  • Adjusting the order of published articles

Status Types and Features

1. Draft

Draft content is only visible in Live Preview.

Since it doesn't appear on the published site, you can edit while reviewing. To publish content, change the status to "Published" or "Scheduled."

2. Published

Published content appears in both Live Preview and on the published site.

You can return it to "Draft" status when needed.

3. Modified

When you edit published content, it automatically switches to "Modified" status.

In this status, changes won't appear on the published site until you select "Update." You can continue editing while reviewing in Live Preview.

4. Scheduled (Items Only)

Scheduled items are only visible in Live Preview until the specified publication time, when they automatically publish. To edit scheduled content, you must first return it to draft status.

Editing Scheduled Content

When editing scheduled items, a confirmation modal appears with two options:

  • Discard Changes: Changes aren't saved, returns to scheduled status

  • Return to Draft: Status changes to draft for continued editing. Schedule settings are cleared and must be reset.

How to Change Status

You can change the status of items and collections individually or in bulk.

Individual Status Changes

Steps

  1. Access the CMS item or collection details screen

  2. Click the button in the top right and select the desired status

Bulk Status Changes (Items Only)

You can change the status of multiple items simultaneously.

Steps

  1. Access the CMS items list screen

  2. Check multiple checkboxes that appear when hovering

  3. Select status from [Change Status] in the top right

  4. Click [OK] in the confirmation modal

Note:

  • Even with mixed statuses, only "Return to Draft" and "Publish" options are available

  • When bulk publishing "Scheduled, Draft, and Modified" items, only "Draft and Modified" items will publish; "Scheduled" items remain unchanged

  • When returning "Scheduled, Draft, and Modified" items to draft, all items become "Draft"

How to Schedule Article Publication

You can schedule article posts by specifying a publication date and time and switching to scheduled status.

Steps

  1. Open the CMS item details screen

  2. Click the [Publish] button in the top right

  3. Select [Publication Date] and open the [Date/Time] tab

  4. Specify the date and time using the calendar or input fields below, then click [Confirm] Enter dates in half-width numbers (e.g., 2023/05/25 12:00)

  5. Click [Schedule] to change the status

  6. Verify Settings The scheduled date appears as the publication date and status changes to "Scheduled." This completes the scheduling process.
