CMS Item Publish Status and Scheduling
The CMS Status feature in Studio.Design helps manage the visibility of your CMS article Items (such as news articles or event details) and CMS Collections (groups of related content). This article explains how to check and change the status of individual items, as well as how to use the publish date feature to schedule future releases.
For details on managing CMS Collections, see the separate help article: Collections: Features and Basic Operations
Note: For CMS article Items within a CMS Collection to appear on your site, both the Collection and every item inside it must be set to [Published].
If you notice that an entire Collection isn’t showing on your site – or only some items are missing – double check that all relevant statuses have been switched to [Published].
CMS Item Status Overview
Each CMS item in Studio.Design has one of four statuses:
Status | Icon Color | Live Preview | Shown on Site | Description |
Draft | Gray | Yes | No | For editing—items stay private until published. |
Published | Green | Yes | Yes | Public—content is visible on your live site. |
Changes Pending | Blue | Yes | Partial* | For edits—preview shows updates but real site shows previous version until you click [Update]. |
Scheduled | Yellow | Yes | No | Set a future publish date. Content will appear and switch to [Published] automatically on the chosen date. |
*There is a difference in the displayed content between Live Preview and the published site.
Status Details
Draft
When you create a new CMS item, it starts as a Draft (gray icon). This is the best status for making changes or preparing your content.
Not visible to site visitors.
Always visible in [Live Preview] as you edit.
Published
Switch the item status to Published (green icon) when you’re ready for it to go live.
Shown exactly as is on the live site.
Also shown in live preview.
To hide the item, simply switch back to Draft.
Changes Pending
If you edit a published item, its status automatically changes to Changes Pending (blue icon).
Edits appear in [Live Preview], but the live site continues to show the previous version until you click [Update] in the CMS dashboard.
Want to make major edits without the item being published? Switch it back to [Draft].
Live preview always shows your current edits for [Changes Pending].
Scheduled
When you set a future publish date, the item switches to Scheduled (yellow icon). At the specified date and time, it will automatically switch to [Published].
Not shown on the live site until the scheduled time arrives.
Always visible in preview as you continue editing.
If you want to edit a scheduled item, switch it back to [Draft] first.
Tips: If you edit a scheduled item, you’ll see a confirmation dialog. You can choose:Discard changes: Nothing saves, and the item remains scheduled.Switch to draft: Status becomes [Draft], and you can keep editing. The scheduled publish date will be removed—you’ll need to set it again.
How to Change Item Status
You can update the status of an item individually or in bulk.
If your project already has [Dynamic Pages] set up for CMS items, any status changes will instantly update on your published site—no need for a separate site update.
Note: If you haven’t set up [Dynamic Pages] yet in your project, switching an item to [Published] won’t make it visible online. To display CMS items, create a [Dynamic Page], and link [Box Elements] to items in the CMS.
Checking for linked dynamic pages:
From your project’s dashboard, open the CMS editor for the collection you want to check.
Click [Publish] in the top right.
If the [Published Site] field isn’t set, then no dynamic page is linked; if you see a page URL, one is linked.
Changing Status Individually
Open the details for the CMS item.
Click the button in the upper right and select a new status.
You can also double-click the status shown in the CMS item list to update it.
Changing Status in Bulk
To update several items at once:
Go to the CMS items list.
Check the boxes beside the items you want to change.
Click [Change Status] in the upper right, then choose your new status.
Click [OK] in the confirmation dialog.
Note: You can only bulk-change items to [Draft] or [Published]. Items with [Scheduled] status must be edited one at a time.
What Is the Publish Date Feature?
The publish date lets you set when an item is made public, either ahead of time or retroactively. You can use it to reorder items or schedule future publications.
How to Change the Publish Date
On an item’s detail page, open the [Publish] panel in the upper right to set the publish date.
You can also double-click the publish date in the item list to change it.
Scheduling Item Publication
To schedule an item (such as an article or event) for future publication, set its publish date and switch its status to [Scheduled]. The item will automatically publish at the date and time you select.
Note: The item must be set to [Draft] to schedule publication.
