CMS Properties: Status and Publish Date

Manage the publish state and publish date of CMS items using the Status and Publish Date properties. Learn about each status type and how to schedule publishing or adjust display order.

Studio CMS is a Content Management System (CMS) feature built into Studio.Design that lets you structure, manage, and update content. By combining models, items, and properties, you can centrally manage frequently updated content like blogs and news.

Status is a feature for managing the publish state of CMS items (content such as news articles or event information) and CMS collections (groups of selected content items).

This article covers how to manage publish statuses for CMS items and how to use the publish date feature for things like scheduling items to go live.

Note: Publishing CMS items within a collection

To display CMS items within a collection on your live site, both the collection and the items inside it must have their status set to [Published].

If you experience either of the following issues, make sure the status of the collection and all its items are set to [Published]:

  • The collection itself doesn't appear on the site

  • The collection is visible, but some items are missing


What is a CMS Item Status?

The publish status of a CMS item is managed through the [Status] property, which is a required property.
The Status property cannot be deleted.

There are four types of publish statuses for CMS items:

  • Draft

  • Published

  • Modified

  • Scheduled

The publish date is set to a future date/time. The status will automatically switch to [Published] at the specified time.


CMS Item Status Types and Details

1. Draft

The default status for a new CMS item is [Draft] (gray status icon). You'll typically do all your content editing while in this status.

2. Published

When you set an item's status to [Published] (green status icon), the item goes live on your site.

If you want to unpublish an item, change its status back to [Draft].

3. Modified

When you edit a published item, its status automatically changes to [Modified] (blue status icon).

  • Live site display: Until you click [Update] in the CMS dashboard, the pre-edit version of the content remains live on your site.

  • Live preview display: The live preview shows the edited (Changes Pending) version, not the currently published version.

  • Items with [Modified] status remain published with the pre-edit content until you click [Update].

  • If you want to temporarily take an item offline, change its status to [Draft] by using the [Change to Draft] option.

  • The live preview shows the edited version, not the currently published version.

4. Scheduled

When you set a publish date in the future, the status changes to [Scheduled] (yellow icon). Once the specified date and time arrives, the status automatically switches to [Published].

To edit a scheduled item, you'll need to change its status back to [Draft] first.

Tip: Confirmation dialog when editing a scheduled item

If you edit a scheduled item, a confirmation dialog appears with two options:

  • Discard : Your edits are not saved, and the item returns to [Scheduled] status.

  • Continue: The status changes to [Draft] so you can continue editing. The scheduled publishing setting is removed, so you'll need to set it up again.


Changing the Status of a CMS Item

You can change the status of items individually or in bulk.

If a dynamic page that displays CMS items already exists in a published project, status changes are reflected on the live site immediately.
In this case, you don't need to use Update Site.

Note: If no dynamic page exists for your CMS items

If a dynamic page to display CMS items hasn't been created yet in your published project's design editor, changing an item's status to [Published] won't make it appear on the live site.

You'll need to create a dynamic page in the design editor and link box elements to CMS items on that page.

How to check if a linked dynamic page exists:

  1. From your project dashboard, open the CMS editor for the CMS you want to check.

  2. Click [Publish] in the upper right.

  3. If the [Live Site] field shows as not set, no page is connected to this CMS. If a page exists, its URL will be displayed here.

  1. Click the publish status button in the upper right corner, then select a new status.

Alternatively, on the CMS item list screen, double-click the status property of the item you want to change and select a new status.

  1. Go to the CMS item list screen.

  2. Hover over the items and check the checkboxes to select multiple items.

  3. Click [Modified] in the upper right and choose a status.

  4. Click [OK] in the confirmation dialog.

Note: Things to keep in mind when changing statuses in bulk

  • The only statuses available for bulk changes are [Change to Draft] and [Publish].

  • Items with [Scheduled] status cannot be changed to [Published] through bulk changes.


What is the Publish Date?

The Publish Date is a property that lets you specify a publish date and time for a CMS item, either before or after it's been published.

Use it when you want to adjust the display order of published articles or schedule an article to go live at a specific time.

Changing the publish date

  1. Click the publish status button in the upper right.

  2. Click [Publish Date].

  3. Select a date and time, then click the confirm button.

Alternatively, you can double-click the publish date property on the item list screen to set it.

Scheduling an Item to Publish

Scheduled publishing lets you set the publish date to a future date and time so that the item goes live automatically. Items with a future date set will have a [Scheduled] status.
Before scheduling, make sure the CMS item's status is set to [Draft].

Scheduling from the item detail screen

  1. Open the detail screen of the CMS item you want to schedule.

  2. Click the [Publish] button in the upper right.

  3. Select [Publish Date] and open the [Set Date and Time] tab.

  4. Choose the date and time you want the item to go live, then click [Set].

    You can select from the calendar or type the date directly into the input field using half-width numbers (e.g., 2023/05/25 12:00).

  5. Click the [Schedule] button to update the status.

  6. Verify the settings — the scheduled date will appear as the publish date, and the status will change to [Scheduled].

Scheduling from the item list screen

  1. On the item list screen, double-click the status property.

  2. Click [Schedule Publication].

  3. Choose the date and time you want the item to go live, then click [Set].
